Appointment Prep

A one-page prep sheet on one shopper, written so a salesperson can read it on the way to the door.

Version 1.0 ยท Aug 28, 2026

The problem

Doing research for an appointment takes time that salespeople don't always have. The history is spread across CRM notes, website visits and inventory, and nobody has time to pull it together between ups. Appointment Prep puts it on one page and tells you what to do before the customer arrives.

What you get back

The appointment

When, what for, who booked it, and how you may contact them.

What they asked for

The car, price and stock number. If it's sold, that comes first, in bold.

What they looked at

The cars they browsed, and whether they differ from the one on the lead.

Where the conversation stands

The last thing each side said and anything left hanging.

Money they've named

Only figures the customer stated, labeled as theirs.

Before they arrive

Follow-ups with a channel and a deadline, most urgent first.

When they arrive

Three things to have ready.

Watch out

Anything that changes what you do, like a cancelled appointment or a time that doesn't match the messages.

How it works

1

It finds your store and the shopper. An email or phone number works best. It can also pick an upcoming appointment for you.

2

It pulls their messages, website visits and vehicles in one go.

3

It checks whether the car is still in stock and finds alternatives if not.

4

It checks how you may contact them, decides what has to happen before they arrive, and writes the page.

Example output

Illustrative example โ€” names and figures are made up.

Jane Sample, Thursday 2:00 PM with Sam Carter

What they asked for
2025 CR-V Hybrid Sport, stock H5521, $36,450. In stock.
Where it stands
She asked for a trade estimate on 9/20. Nobody answered.
Before they arrive
Text her by noon with the trade estimate and confirm 2 PM.

Try this first

Pick an appointment for this afternoon at [your store] and prep me.

Claude picks an upcoming appointment, says who and why, then gives a one-page sheet. It asks a question only if it can't find the store or the shopper.

More questions to ask

Good to know

  • An email or phone number finds the shopper more reliably than a name.
  • One shopper at a time. Not for store-wide reports.
  • The sheet includes things the customer told you in confidence. Keep it inside the store.
  • It never makes up a price, payment or trade figure.

Test before you rely on it

Try it on a customer you know well and check what it gets right.
